Due to the ongoing conflict in Ukraine and current UK government sanctions we are unable to accept any registrations from any organisations based in Russia or Belarus. This applies to both individual and exhibitor registration.

Student Financial Support

IBIC 2025 is pleased to say that financial support can be made available to 10 selected students registered for a PhD or degree in accelerator physics or engineering. The scholarship covers the registration fee and hence access to all IBIC 2025 sessions, the welcome reception, coffee breaks and lunches, the lab visit and formal dinner, as well as a shared room. It does not normally cover travel expenses.

How to Participate and Apply for Financial Support

Before applying for a student grant, you should have already submitted an abstract to obtain the contribution ID.

To be considered for financial support, you must:

If you apply for financial support, please do not pay the registration fee unless you hear that your application for support was unsuccessful. All applications and recommendations must be received before 31st March 2025. Successful applicants will be notified in early April 2025. If you are not awarded a scholarship, payment must be received within 2 weeks of receiving notification from us, otherwise your registration may be cancelled.

Students not applying for a scholarship are required to make payment within 2 weeks of registering.

Responsibilities of Financial Support Recipients

Supported students will be expected to submit a contribution to the conference and proceedings, and support conference activities as needed, e.g. by serving as a session assistant.

Cancellation and Refund Policy

Any changes and cancellations must be communicated in writing to the IBIC 2025 Local Organising Committee at IBIC2025@stfc.ac.uk. For cancellations, pre-paid registration fees are refundable less a £100 processing fee if notification of cancellation is received in writing by 31st July 2025. Cancellations after 31st July 2025 will result in forfeiture of the entire registration fee; however, a substitute registrant will be accepted. This policy also applies to companions. Refunds may be granted for no-shows under extenuating circumstances at the sole discretion of the IBIC 2025 organisers. Refunds will be made by credit card or bank transfer, depending on the original payment method. This policy also applies to extra tickets for outings and social functions.  

Please do not send sensitive information by e-mail such as bank account, credit card, driver’s license, identity card or passport numbers. Such information should be submitted only through the secure registration website or mail.
