Student Financial Support

Financial support will be available to a selected number of students registered for a PhD or degree in accelerator physics or engineering. The scholarship covers the registration fee and hence access to all IBIC 2025 sessions, the welcome reception, coffee breaks and lunches, the lab visit and formal dinner, as well as a shared room. It does not normally cover travel expenses.

There will be a very small number of travel grants, limited to applicants from historically under-represented regions.

In order to be considered for support, students must register for the conference as student. Students awarded financial support must arrive in Liverpool before Sunday, 7th September 2025 at noon, so that they can attend an orientation and training session on the Sunday afternoon.

How to Participate and Apply for Financial Support

Before applying for a student grant, you should have already submitted an abstract to obtain the contribution ID. Abstract submission will open on 10th February 2025.

If you apply for financial support, please do not pay the registration fee unless you hear that your application for support was unsuccessful. All applications and recommendations must be received before 31st March 2025. Successful applicants will be notified in early April 2025. If you are not awarded a scholarship, payment must be received within 2 weeks of receiving notification from us, otherwise your registration may be cancelled.

Students not applying for a scholarship are required to make payment within 2 weeks of registering.

Responsibilities of Financial Support Recipients

Supported students will be expected to submit a contribution to the conference and proceedings, and support conference activities as needed, e.g. by serving as a session assistant.

Cancellation and Refund Policy

Any changes and cancellations must be communicated in writing to the IBIC 2025 Local Organising Committee at [email protected]. For cancellations, pre-paid registration fees are refundable less a £100 processing fee if notification of cancellation is received in writing by 31st July 2025. Cancellations after 31st July 2025 will result in forfeiture of the entire registration fee; however, a substitute registrant will be accepted. This policy also applies to companions. Refunds may be granted for no-shows under extenuating circumstances at the sole discretion of the IBIC 2025 organisers. Refunds will be made by credit card or bank transfer, depending on the original payment method. This policy also applies to extra tickets for outings and social functions.
